Context
The client is a US-headquartered software firm with offshore engineers across multiple Indian cities. Their internal IT function sat in the US and was twelve time zones from the people who needed laptops, MDM enrolment, repair logistics and offboarding.
Three laptops had gone missing in the prior year — not stolen as such, just lost in transit, lost at a courier, or left behind by departing engineers with no recovery process in place.
Challenge
The HQ IT team had no logistical levers in India. The client's local admin function had never owned IT asset lifecycle and did not have a playbook for it.
Two practical pain points kept compounding:
- New hires waited three weeks or more for a laptop, which delayed effective start dates and put avoidable friction into the hiring process.
- Departing engineers were leaving with company laptops that nobody had a structured process to recover, image-wipe and redeploy.
Approach
We took over the full lifecycle:
- Procurement to client hardware spec, drawing on local vendor relationships
- Imaging and MDM enrolment under the client's tenant before the laptop leaves our office
- Secure courier to the engineer with delivery confirmation tied to the asset register
- Asset register synced to the client's HR system so every laptop is tied to a current employee record
- Offboarding triggered by the HR exit event — recovery courier dispatched, remote wipe initiated, asset returned, imaged, and redeployed to the next hire
Outcome
100% recovery rate over the engagement — every laptop accounted for at the end of every employment relationship.
Time-to-laptop for new hires dropped from three-plus weeks to under five business days. Onboarding stopped being held up by hardware logistics.
